An interview feedback template, collected for you

A short interview feedback template, and a routine where Cedric asks each interviewer for it the same day and files the answers on the candidate in Greenhouse.

  • Slack
  • Greenhouse
  • Notion

Interview feedback has a short shelf life. Written the same afternoon, it has quotes and specifics. Written three days later, it says "strong communicator, good culture fit", and the debrief turns into five people trying to remember a 45-minute call.

The fix is a short template and someone who asks for it the same day, every time. That second part is where it breaks down, because the person asking is the hiring manager, who is also interviewing. Cedric can do the asking. He checks the day's interviews, messages each interviewer, collects the answers in your template, and files them on the candidate once you approve.

  • Five questions, answered the same day, beat a long scorecard filled in on Friday.
  • Every afternoon, Cedric asks each of the day's interviewers for feedback in a direct message.
  • Nobody sees the summary until everyone has answered, so the first opinion doesn't set the tone.
  • The note goes onto the candidate in Greenhouse after your yes. The hiring decision stays with the panel.

17:00 on interview day

Three interviewers, one note.

All three interviewers have answered for Lea Brunner, Senior Designer, onsite. Jonas says strong yes, with a clear walkthrough of how she cut the checkout flow from five steps to three. Mara says yes and wants the reference check to cover deadlines. Tim says no, because the systems exercise ran out of time before she got to edge cases. The full answers are in the thread.

Add the feedback to Lea's profile in Greenhouse?

The template

Five questions. Anything longer gets skipped on a busy day.

1. Your recommendation. Strong yes, yes, no or strong no. No "maybe": if you can't pick, that is a no.

2. What you were testing. The one or two skills you were assigned for this interview.

3. The evidence. What they said or did that shows it, in a line or two. "Walked through the migration plan step by step" helps the debrief. "Smart" doesn't.

4. The concern. The one thing that worried you, even if you said yes.

5. For the next round. What the next interviewer should dig into.

Ask for it before people talk to each other. Feedback written after the hallway chat repeats the hallway chat.

Set it up

  1. 01

    Add Cedric to Slack

Install him and invite him to a private #hiring channel with only the hiring team in it. You start with 100,000 free credits, about $50 of work, and no card.

    Create your Cedric account

  2. 02

    Connect Greenhouse

From the dashboard, connect Greenhouse. No ATS? A candidate database in Notion works the same way.

  3. 03

    Save the template

Paste your version of the five questions and add: "From now on, this is our interview feedback template." He saves it as a team skill.

  4. 04

    Put it on a schedule

"Every weekday at 17:00, check today's interviews in Greenhouse. Ask each interviewer for feedback in a DM, using our template. Post the summary to #hiring once everyone has answered."

Someone quiet gets a reminder the next morning. If they stay quiet, he tells you.

  5. 05

    Approve the note

Read the summary in #hiring and say yes. The full answers go onto the candidate as a note.

Before you rely on it

It's a note, not the scorecard. The Greenhouse connection reads scorecards and posts notes. It doesn't fill in scorecards. If your team uses them, he reads the ones already filed and only asks the people who haven't.

He doesn't contact candidates. The connection can't email candidates or book interview times, and this routine never tries.

The panel decides. He collects and files what people wrote. Who gets an offer is a decision for the people in the room.

FAQ
